to supporting community life, connection, and local initiatives. WCC works collaboratively with
residents, community organizations, and partners across the island to strengthen and sustain a
vibrant, connected community.
About the Role
WCC is seeking a highly organized, proactive, and community-minded Part-Time Executive
Director to provide ongoing administrative and operational leadership for the organization.
This is a hands-on role that will help keep WCC organized, financially and operationally on
track, and moving forward between Board meetings. The Executive Director will provide
continuity as Board members and leadership change, ensuring that important information,
relationships, projects, and organizational priorities are maintained over time.
The ideal candidate is someone who can work independently, see what needs to be done, keep
track of details, and help turn Board direction into action.
Key Responsibilities
Organizational Administration & Operations
●
Manage the day-to-day administrative needs of WCC.
●
Maintain organizational records, documents, calendars, contacts, and other
administrative systems.
●
Coordinate ongoing organizational operations and follow up on action items.
●
Provide administrative oversight to ensure that important tasks, deadlines, and
commitments stay on track.
●
Monitor the organization’s general needs and identify issues or opportunities requiring
attention.
●
Support the preparation and follow-up of Board meetings.
●
Provide continuity and institutional knowledge between Board meetings and during
periods of Board turnover.
●
Help ensure that Board decisions and priorities are carried forward into action.Fundraising & Grant Development
●
Spearhead and coordinate WCC’s fundraising efforts.
●
Identify potential funding opportunities and community fundraising initiatives.
●
Research, prepare, and submit grant applications in collaboration with the Board and
relevant partners.
●
Maintain a calendar of grant deadlines, reporting requirements, and funding
opportunities.
●
Track grants and fundraising activities and help ensure that reporting and follow-up
requirements are completed.
●
Develop and maintain relationships with funders, donors, and community partners.
Financial & Resource Oversight
●
Work with the Treasurer and Board to monitor budgets, expenses, revenues, and
financial commitments.
●
Help ensure that financial records and documentation are maintained and organized.
●
Assist with budgeting, financial planning, grant tracking, and reporting.
●
Help the organization make effective use of its financial and other resources.
Community Building & Partnerships
●
Help strengthen WCC’s relationships with community groups, organizations, and
partners across the island.
●
Identify opportunities for collaboration, shared resources, and joint initiatives.
●
Represent WCC in appropriate community conversations and activities.
●
Help build connections that support WCC’s mission and benefit the broader community.
●
Maintain awareness of relevant community initiatives, opportunities, and challenges.
Organizational Leadership
●
Help keep WCC focused on its mission, priorities, and commitments.
●
Provide practical leadership and organizational continuity while respecting the authority
and governance role of the Board.
●
Bring emerging issues, opportunities, and recommendations to the Board’s attention.
●
Help ensure that the organization remains responsive, organized, accountable, and
sustainable.Qualifications & Skills
We are looking for someone who brings a combination of organizational ability, initiative, and
community-mindedness. The ideal candidate will have:

Strong organizational and administrative skills.
●
Excellent written and verbal communication skills.
●
The ability to work independently and manage competing priorities.
●
Strong attention to detail and follow-through.
●
Experience with non-profit administration, community organizations, or
small-organization operations is an asset.
●
Experience with fundraising and grant writing is strongly preferred.
●
Basic financial and budgeting skills.
●
Ability to build positive relationships and partnerships.
●
A collaborative, practical, and solutions-oriented approach.
●
A genuine interest in supporting the Whaletown community and strengthening
connections across the island.

Position: Part-Time Executive Director

Rate: $45 per hour
Reports to: Board of Directors, Whaletown Community Club
This position is intentionally structured as a small, part-time role. The successful candidate will
be expected to use their time strategically, prioritize the organization’s most important needs,
and bring forward recommendations when additional time, resources, or Board involvement may
be required.
